1. Overview

Welcome to Effortless Flow. We are committed to protecting your privacy and personal data. This privacy policy explains how we handle your data when you use our Google Sheets Add-on.

2. Required Scopes

To automate operations and extract invoice data, Effortless Flow requires access to specific Google services via secure OAuth scopes:

• Google Sheets (spreadsheets): To read configuration lists and automatically write OCR results directly into your active sheet.
• Google Documents (documents): To generate dynamic template files and export document PDFs.
• Google Drive (drive): To read raw invoice images/PDFs from your configured scan folder and save processed output files.
• Email sending (script.send_mail): To automatically send summary logs or alert notifications to your inbox upon request.
• External request (script.external_request): To connect to our central licensing server for key validation and call the secure Gemini OCR API.

3. Data Protection Principles

1. Zero-File Retention: Your uploaded files (images/PDFs) are only stored temporarily in Google Apps Script's cache memory during the API execution of Gemini OCR extraction. We do not download, copy, or keep any of your business documents on external servers.
2. Your Data Ownership: All extracted invoice details are written directly into your private Google Sheets, and results are stored in your private Google Drive directories. We do not have access to these files outside of the operations you manually authorize.
3. No Data Sharing: We never sell, lease, or share your business data or personal information with third parties. Data is exclusively processed to execute workflows configured by you.

4. BYOK API Key Security

If you upgrade to the VIP tier and configure your personal Google Gemini API Key (BYOK), the key is stored privately in your UserProperties scope and called directly from your script session to the Google API endpoint. We do not collect or transmit this key.

5. User Control

You can uninstall the Effortless Flow Add-on at any time from your Google Workspace marketplace dashboard. Once uninstalled, all local configuration properties are permanently deleted from your Google account.
